This Privacy Policy explains how Demohub LLC ("Demohub", "we", "us", "our") collects, uses, and shares information when you use our service at demohubhq.com. We're a business-to-business SaaS platform, and we take privacy seriously.
1. Information we collect
From retailers
- Business contact info: business name, owner name, email, phone
- Store details: addresses, hours, demo policies, fee structures
- Team admin info: invited admin emails and roles
- Billing information (when subscribed): processed by Stripe; we never store payment card numbers
- Usage data: pages viewed, features used (via PostHog with masking enabled)
From brands
- Business contact info: company name, contact name, email, phone, website
- Certificates of Insurance (COI) documents you upload
- Product categories and descriptions
- Demo booking history at retailers using Demohub
From visitors
- Standard request logs: IP address, browser, referrer, timestamp (not stored beyond 30 days)
- Analytics data with PII masking enabled (PostHog)
Cookies and local storage
Demohub does not use third-party tracking cookies. We keep you signed in with a first-party, HttpOnly session cookie (an opaque session ID, not your email or name) that JavaScript on the page cannot read. When you sign out, the cookie is cleared and the session is deleted server-side. Browser localStorage is used only for interface preferences — things like which product tour you have seen and which banners you have dismissed — never for sign-in credentials. PostHog uses first-party local storage for analytics; you can opt out by appending ?__qa=1 to any URL in your session.
2. How we use information
- Provide and operate the platform (booking flow, calendar sync, statements)
- Authenticate you (magic-link emails)
- Send transactional emails (booking confirmations, COI expiration alerts, welcome emails, signed-agreement receipts) via our processor Resend , see the subprocessor list for details
- Process payments through Stripe
- Improve the product (aggregate analytics, never individual targeting)
- Comply with legal obligations
3. How we share information
We never sell your data. We share information only in these cases:
- Between retailers and brands: When a brand books a demo at a retailer, the retailer sees the brand's contact info and COI. Brands never see other brands' information. Retailers never see brands' interactions with other retailers.
- Service providers (subprocessors): See our subprocessor list for all third parties we use.
- Legal requirements: If required by law, subpoena, or court order, with notice to you when legally permitted.
- Business transfers: If we're acquired, your data transfers under the same protections.
4. Data security
- All data encrypted at rest (AES-256) and in transit (TLS 1.3)
- Strict tenant isolation: retailer A cannot access retailer B's data
- Magic-link authentication: no passwords to leak
- Hosted on enterprise-grade infrastructure (Vercel, Supabase, Cloudflare)
- Regular dependency updates and security monitoring
5. Your rights
You can:
- Access: Download all your data via your admin panel or by emailing david@demohubhq.com.
- Correct: Update your information directly in the admin panel.
- Delete: Request full account deletion. We complete deletions within 30 days, except where retention is legally required (e.g., tax records).
- Object to processing: For analytics and marketing emails (transactional emails for active accounts are required).
- Export: Receive your data in JSON format.
For GDPR (EU/UK users) and CCPA (California users), these rights are guaranteed. We respond within 30 days.
6. Data retention
- Active accounts: data retained for the life of the account
- Cancelled accounts: deleted within 30 days, except billing records (7 years per US tax law)
- Request logs: 30 days
- Audit logs: 1 year
7. International transfers
We're a US-based company. Data is stored on US-West infrastructure. For EU/UK users, we rely on Standard Contractual Clauses (SCCs) for transfers.
8. Children's privacy
Demohub is a business-to-business service. We don't knowingly collect information from anyone under 18.
9. Changes to this policy
We'll notify you of material changes via email and update the date at the top of this page.
